Job Description

The Technical and Vocational Education and Training Authority (TVETA) is a State Corporation under the Ministry of Education established under the TVET Act of 2013. The mandate of the Authority is to promote quality access, equity and relevance in Technical and Vocational Education and Training (TVET) by developing standards, inspecting, registering and licensing trainers, institutions and training programmes.

23. Records Management Officer II, Grade TVETA 6

Vacancy No. TVETA/23/JUN. 2018: Number of Posts: One (1)

Basic Salary Scale: Kshs. 67,950 – 90,900 pm

(a) Duties and Responsibilities

Reporting to the Records Management Officer I, the Records Management Officer II will be responsible for the following:

(i) Ensuring security of files and documents in the registry

(ii) Developing a records storage plan, which includes the short and long-term housing of physical records and digital information

(iii) Opening and closing of files

(iv) Managing movement of files in and out of the registry

(v) Maintaining a comprehensive file classification scheme and indices for TVETA records

(vi) Controlling access to records internally and outside of the organization while ensuring confidentiality of information

(vii) Implementing policies and practices regarding records including their organization and disposal

(viii) Dispatching of mail, files and related documents

(b) Requirements for Appointment

For appointment to this grade, one must have: –

(i) Served for a minimum period of three (3) years as a Records Management Officer in the public service/private sector or in an equivalent and relevant position;

(ii) A Bachelor’s degree in Information Science/Records Management from a recognized institution

OR

A Bachelor’s degree in any of the social sciences and a diploma in Records/Information Management, Library /Information Science or equivalent qualifications from a recognized institution

(iii) Certificate in computer applications from a recognized institution.

(iv) Demonstrated a high degree of professional competence and administrative capability required for effective performance of duties at this level;
